Prompt Management Dialog

The Prompt Management dialog contains the usual embedded audio controls, but also displays  which languages a prompt has been recorded in.  This makes it easy to manage multi-language prompts at a high level, without having to open forms.

This dialog appears when Multi-Language Prompts is selected from the Edit menu.  Use the Prompt Management dialog to:

  • Select and play back a prompt in different languages.

  • Record, or re-record a prompt in any language defined in Interaction Administrator.  If you need to record in a language that does not appear in Interaction Attendant's list of available languages, see configure CIC to support additional languages.

  • Using this dialog, prompts can be recorded in additional languages.  However, the dialog does not determine which language is used to play a prompt in a menu.  (The current language setting does that.) It merely allows a language to be selected before playing back or recording a prompt. 

  • Browse for a .wav file.

  • View audio file details.

  • When you select a prompt using the Name list box, the Status list on the left displays a list of languages that the prompt has been recorded in.  The "Not recorded in" list on the right indicates available languages for which the prompt has not been recorded.  In the example above, the prompt has been recorded in English, French, and German, but not Spanish.

To Select An Existing Prompt

Select a prompt from the Name list box.  The list of languages that the prompt has been recorded in appears in the Status frame.

To Play Back an Existing Prompt

  1. Select the name of a prompt from the Name list box.  When you make a selection, the list of supported languages that the prompt has been recorded in appears in the Status frame.  The list of languages the prompt has not been recorded in appears on the right.

  2. Select the playback language by pressing the down arrow to the right of the Play button.  Select an item in the list. 

  3. Press the Play button. 

To Record (or Re-record) a Prompt in Another Language

  1. Select a prompt from the Name list box.

  2. Press the down arrow next to the Record button to display a drop-down list of supported languages.

  3. Select the language that you want to record in.  Checkboxes in the list (if any) indicate languages that the prompt has already been recorded in.  When you make a selection, you are prompted to pick up your telephone:

  4. Pick up your telephone, and press OK to proceed.  Follow verbal instructions as needed to complete the recording. 

To Record a New Prompt

  1. When you record a new prompt, you do not need to select a language beforehand.  The default language (as configured in Interaction Administrator) is associated with new prompts recorded in Interaction Attendant.

  2. To get started, press the Record button.  The Audio Prompt Name dialog appears, so that you can provide a name for the new prompt. 

  3. Enter a name for the prompt.  (The .wav extension will be added if you do not type this in.)  Press the OK button to close the Audio Prompt Name dialog. 

  4. When you press the OK button, Attendant asks you to pick up your telephone:

  5. Press OK to proceed.  Then follow verbal instructions as needed to complete the recording. 

To Browse for a Prompt File

You can browse for an existing .wav file.  The file that you select is copied to a directory named C:\IC\Resources\InteractionAttendantWaves\LANGUAGE on the CIC server, where LANGUAGE is the name of the default language defined in Interaction Administrator.   This directory is shared as \AttendantWaves\LANGUAGE.

  1. Press the Browse button.

  2. Select a .wav file using the Open dialog.

  3. Press the Open button. 

Usage

The Multi-Language Prompts command is invoked by pulling down the Edit menu and selecting Multi-Language Prompts.
