Adding Dynamic Details to a Work Item

Dynamic details uniquely identify each work item. A dynamic detail is typically an ordered group of variables that would be associated with a particular work item.

IPA Designer requires you to add dynamic details to each work item in your process. If any work items do not have dynamic details assigned, IPA Designer will flag them as containing errors and not allow you to publish your process design until you correct the errors.

Although a work item can have multiple pages, dynamic details apply to the entire work item and not to individual pages.

Tip: If you collect first name and last name in a work item, you should use those two variables in the work item's dynamic details.  The reason is that if you put the work item on hold, the only way you can distinguish it from other work items is by its dynamic details.  If the dynamic details include first and last names, then on hold you will see the values you entered in the CIC Client.

To add dynamic details to a work item:

  1. Verify that you previously created a variable to use as a dynamic details identifier for the work item.

  2. In the work items list under the desired process, double-click the work item.

    IPA Designer displays the Work item Overview view (see figure).

  3. Click the link text next to Dynamic Details.

    IPA Designer displays the Build Dynamic Details dialog box (see figure). IPA Designer automatically adds the variables you chose when you initially created the work item.

  4. To add more variables to dynamic details, click the Add () icon.

    IPA Designer displays the Select Variable dialog box. The dialog box lists variables that can be used as dynamic details identifiers.

  5. Select a variable to add to dynamic details:

    1. Either click the name of a variable to use as a dynamic details identifier for the work item, or click Insert to create a new variable "on the fly."

    2. Click OK to close the dialog box.

      Leaving the Show Name check box enabled displays the variable name in addition to the variable value in the dynamic details. For example: FirstName: <John>, LastName: <Smith>.

  6. To add more variables, repeat steps 4 and 5 as needed.

  7. If needed, use the up and down arrow buttons to adjust the order of the variables. If needed, use the delete (X) button to remove variables from the list.

    The order of the variables in the list controls the order in which the CIC Client displays them in the work item's dynamic details.

  8. Click OK to close the Build Dynamic Details dialog box.

    IPA Designer assigns the variable as the dynamic details identifier for the work item.
